Writing a short email is one of the most useful real-world A2 skills — for messaging a teacher, a friend, or a company. A good email has a clear structure and the right level of politeness. This lesson gives you a reliable template you can reuse every time.

1. The parts of a short email

Part Example
Subject line Question about Monday’s class
Greeting Hi Sara, / Dear Mr Ahmed,
Opening line I hope you are well.
Reason (the main message) I am writing to ask about…
Closing line Thank you for your help.
Sign-off + name Best wishes, Aisha

2. Formal or friendly?

Friendly (a friend) Formal (a teacher / company)
Hi Omar, Dear Mr Ahmed,
How are you? I hope you are well.
Thanks! Thank you for your help.
See you soon, / Bye, Best wishes, / Kind regards,

3. Useful email phrases

  • Opening: “I am writing to ask about… / to tell you that…”
  • Requesting: “Could you please send me…?”
  • Closing: “I look forward to your reply. / Thank you in advance.”
Match the greeting and the sign-offIf you start with “Dear Mr Ahmed,” (formal), end with “Best wishes,” or “Kind regards,” — not “Bye!” If you start with “Hi Omar,” (friendly), a casual sign-off is fine. Keep the tone the same from start to finish.

4. A complete model email

Model emailSubject: Question about Monday’s class

Dear Mr Ahmed,
I hope you are well. I am writing to ask about Monday’s class. I was sick, so I missed the lesson. Could you please send me the homework? Thank you for your help.
Best wishes,
Aisha

Tutor tip for Arabic speakersEnglish emails are shorter and more direct than formal Arabic letters. You do not need long opening blessings — one line (“I hope you are well”) is enough, then go to your point. Politeness in English comes from small words like please, could you, and thank you, not from length. Always write a clear subject line so the reader knows the topic at a glance.

Examples from EduCareer

  • Subject line: Request for extra practice
  • Opening: Dear teacher, I hope you are well.
  • Request: Could you please recommend some reading?
Common mistakes

(no subject line)  →  Subject: Question about the exam

Dear Mr Ahmed, … Bye!  →  Dear Mr Ahmed, … Best wishes,

Send me the homework.  →  Could you please send me the homework?

(no name at the end)  →  Best wishes, Aisha
